Office Operations Manager

We are now accepting applications for a full-time, on-site role at our Virginia Beach, Virginia facility.

We’re hiring an Office Operations Manager to run our Virginia Beach office. The team reviews and validates tax-related documents for our customers. The role is roughly 50/50 people management and operational leadership.

During peak season (tax season), the office scales to approximately 300 seasonal employees alongside a small team of year-round Supervisors. This is a high-volume, high-pressure operation – similar in scale to a call center, fulfillment center, or large retail floor – and the Office Operations Manager is accountable for both the work output and the workforce.

What You’ll Do
Leadership
  • Maintain a visible, consistent leadership presence on the floor; be known to staff at every level.
  • Coach and develop the Supervisor team — building their leadership skills, providing regular performance feedback, supporting their growth into expanded responsibilities, and ensuring consistent application of company policies across the floor.
  • Build accountability systems suited to a short-tenured seasonal workforce – leveraging recognition, scheduling, role assignments, and culture.
  • Provide regular operational updates to the VP of Operations, daily during peak season.
Workforce & Hiring
  • Lead day-to-day floor operations of the Virginia Beach office through peak season.
  • Partner with HR to oversee large-scale seasonal hiring and training of seasonal staff.
  • Plan staffing ramp-up, ramp-down, and shift coverage.
Operations & Compliance
  • Monitor performance metrics to ensure staff, processes, and systems are running at optimum efficiency.
  • Maintain a comprehensive working knowledge of GruntWorx products and the utilities used to process the work.
  • Ensure the operation maintains all company security and compliance standards, including SOC / SSAE requirements that protect customer information and sensitive data.
Building Management
  • Serve as the point of contact for the landlord, contracted services, building needs, and office billing.
  • Coordinate office supplies, building maintenance, and day-to-day office administration.
  • Coordinate emergency response for weather incidents, disaster recovery, and physical and network security.
What We’re Looking For
  • 3–5+ years managing a large-scale operational workforce of 100+ employees — call center, distribution or fulfillment center, warehouse, large retail floor, manufacturing environment, or a comparable high-volume operation.
  • Demonstrated experience leading a predominantly seasonal, temporary, or hourly workforce.
  • Experience handling employee relations and performance issues in a high-volume environment.
  • Experience with scheduling, staffing forecasting, and workforce planning.
  • Strong leadership and coaching skills.
  • Strong analytical and organizational skills.
  • Bachelor’s degree in Business, Operations Management, HR, or a related field – or equivalent experience.
  • Flexibility with hours during peak season, including occasional weekend coverage.

Schedule
  • Off-season: Full-time, 40 hours/week.
  • Peak season (tax season): Increased hours and occasional weekend coverage.
  • On-site at our Virginia Beach office.
